What to expect and prepare before your Integration Discovery Session

Meeting Purpose:

  • An Integration Discovery Session is designed to slowly work to uncover the integration requirements. The session is focused on asking questions and walking through source systems so be prepared to demo your platforms.

    Meeting Agenda:

    • Integration Goals (What is your intended outcome?)
    • Review current source systems used
    • Design Key Process Flows
    • Confirm Sync Rules & Mappings
    • Development timelines/deadlines
    • Next Steps

    Length & Facilities:

    Allow 3 hours for this session, however, the session may finish early. If joining online, please make sure you have a second screen.

    Who typically attends these sessions:

    Integration stakeholders and SMEs on the source systems,  H&D Solutions Lead.

    What you can prepare ahead of time?

    It's ok if you don't have an answer to all of these questions, but it's great to start thinking about them as we will cover this in our session. However, please align internally on your integration goals and expected outcomes before this session.

    1 What systems are you wanting to integrate with HubSpot? Xero
    2 What is your overall goal for this integration? My Goal for this integration is to automatically create Invoices in Xero when a Deal in HubSpot is Closed Won. I would also to keep Contact/Company information updated between both systems. 
    3 What version/license of these systems are you on? Xero Subscription Ultimate 10
    4 Is there any API Documentation for these systems? Yes - Xero Invoice API
    5 Is there a Sandbox/UAT/Dev Environment we can use for testing purposes? Yes we have both a Xero and HubSpot Sandbox environment

    For each system, what data would you like to send/receive? Our ideal outcome is to identify certain objects of data.

    E.g: Contacts, Companies, Deals, Tickets, Products or any Custom Object

    Deal, Line Item, Contact and Company data.

    Providing what properties are required to generate each record in HubSpot/Xero is also very helpful.

    Two-way integration
    Deal Information from HubSpot to Xero
    Payment information from Xero to HubSpot
    Contact information from Xero to HubSpot
    Company information from Xero to HubSpot

    8 What triggers this data to be synced?
    E.g: Order Placed in {X system}, trigger a Deal to be created in HubSpot
    When a Deal in HubSpot is 'Closed Won', we will generate the Invoice in Xero.
    When the Payment is received in Xero, we will update the Deal in HubSpot.
    When a Contact/Company is updated in HubSpot, we will update the details in Xero.

    9 Does this system hold any sensitive data?
    E.g: Birth Certificates, Drivers Licenses, Passwords, etc.

    10 How many records would be sent/received on a weekly/monthly basis? Estimate of 60 Invoices a week with no plans for this to increase. We would create/update around 100 Contacts and 100 Companies a week.
    11 How frequently would you like data to be synced?
    E.g: Near Real Time, Hourly, Daily, Weekly etc.
    Daily, ideally around 5 pm
    12 What is your timeline for this integration build? Within the next 3 months, we have a hard deadline of this date {X}.
